Job Description

The position

Duration: one year and prolongation is to be discussed before ending this period.

Start: Asap

Location: Petrobrazi, Romania.

Tasks and responsibilities


  • Supporting project execution tasks in refinery
  • Supporting staff involved in project execution in day-to-day activities (esp. Program Managers and Project Managers at site)
  • General administrative tasks

Main Accountabilities

1. Planning and forecasting duties:

  • Planning events
  • Up-dated the holiday schedule
  • Keeps record of the meeting rooms schedule and ensures protocol for meetings

2. Industry knowledge:

  • Elaborates translations from/into English language
  • Ensures upon request interpreting for the team members
  • Knowledge in using SAP system

3. Organization:

  • Organizing meetings, business trips and others
  • Ensures protocol supplies for the department;
  • Provides offices supplies and paper for the team members,
  • Makes hotel reservations,
  • Receiving and distributing correspondences;
  • Elaborates upon request protocols and minutes of meeting within the department’s meeting
  • Prepares time sheets, business trip forms and vacation sheets, etc;

4. Coordination:

  • Coordinating events organized by the project manager when it is the case

5. Reporting:

  • Prepares letters, reports and presentations as requested by the managers



  • University degree required
  • Commercial, technical, legal and project management knowledge


  • Relevant professional experience > 10 years
  • 3 – 5 years of extensive experience in project procurement management and project management in international environment
  • Experience in remote/virtual project team coordination
  • Experience in coordinating complex project procurement activities, organization and prioritization.
  • Previous exposure to Senior management interactions
  • Good communication and presentation skills; intercultural awareness
  • Leadership of transnational teams including flexibility and willingness for business travels

  • English knowledge – Business fluent (written and spoken)
  • Other languages as German, Romanian, Turkish, Arabian, French (advantage)

  • Customer oriented, reliable and good team player
  • Solid understanding of the oil/gas business
  • Advanced IT skills / application of SAP, MS Office and standard Procurement Applications and Project Management tools
